Print-Ready File Checklist

A practical preflight checklist for artwork before sending a file to a printing service.

1. Confirm the final size

Set the document to the actual finished size whenever possible. For large-format work, use a scale only when the production workflow requires it and clearly communicate the scale.

2. Add bleed where needed

Bleed gives the printer extra artwork beyond the trim edge. A common small-print starting point is 3 mm, but the required bleed depends on the product and finishing method.

3. Keep important content inside the safe area

Logos, phone numbers, faces and other critical elements should not sit too close to the trim or fold line.

4. Check resolution

For raster images, choose resolution based on the final output size and viewing distance. Do not assume that increasing a low-resolution image after the fact creates missing detail.

5. Handle fonts correctly

Embed fonts in PDFs when supported, or convert text to outlines when the production workflow requires it. Keep an editable source file separately.

6. Export and inspect

Open the final PDF or image and inspect dimensions, spelling, transparency, overprints, missing links and unexpected color changes before sending it.

4PASS tip: Always confirm product-specific specifications such as trim, bleed, paper, finishing and color requirements with your printer before final export.
